Conference Terms & Conditions

Booking Delegate Place:

Delegate place includes full conference pass, refreshments and lunches for two days, cocktail reception, and conference materials via the conference App. Once Aircraft Commerce has received your booking form we will send you an acknowledgement email, invoice and delegate confirmation brochure. If you have not received this within 72 hours of booking, please contact us.
Full payment must be made before the conference to guarantee each delegate place.

Booking Exhibition Space:

Once Aircraft Commerce has received your request we will send you an acknowledgement email, and exhibit information brochure. If you have not received this within 72 hours of booking, please contact us. The exhibition space booking will only be reserved when Aircraft Commerce receives a confirmation that the requesting company agree to these terms and conditions by email. By agreeing to these Terms and Conditions, the exhibitor agrees to pay the exhibition space booking fee 30 days prior to the 1st day of the conference. Your invoice will be sent three months prior to the conference date. Aircraft Commerce reserves the right to sell exhibition space if the balance payment has not been received by the given date.
Full payment must be made before the conference to guarantee exhibition space.

Booking of Sponsorship:

Once Aircraft Commerce has received your request we will send you an acknowledgement email, invoice and sponsorship contract. If you have not received this within 72 hours of booking, please contact us. The sponsorship booking will only be reserved when Aircraft Commerce receives a confirmation that the requesting company agree to these terms and conditions by email. By agreeing to these Terms and Conditions, the exhibitor agrees to pay the exhibition space booking fee 30 days prior to the opening day of the conference. Your invoice will be sent three months prior to the conference date. Aircraft Commerce reserves the right to sell exhibition space if the balance payment has not been received by the given date.
Full payment must be made before the conference to guarantee sponsorship.

Delegate Name Changes:

Name changes are accepted at any time without incurring a charge. Please email any changes to Ed at ed.haskey@aircraft-commerce.com.

Cancellation Policy:

DELEGATE PLACE: A full refund (less a 10% administrative charge) is available for cancellations received in writing 30 days prior to the conference. No refund will be given after this date. Should you wish to cancel your delegate place, please email Ed at ed.haskey@aircraft-commerce.com.

EXHIBITION STAND / SPONSORSHIP PACKAGE: If cancellation is received more than 60 days prior to the conference – 25% of the agreed rate is payable. If cancellation is received more than 30 days prior to the conference – 50% of the agreed rate is payable. If cancellation is received less than 30 days prior to the conference – 80% of the agreed rate is payable. Should you wish to cancel your exhibition stand or sponsorship package, please email Ed at ed.haskey@aircraft-commerce.com.

COVID-19 CANCELLATION CLAUSE: Should the conference be unable to proceed due to a Covid-19 outbreak or travel restrictions, delegates, exhibitors, and sponsors will receive a full refund on any fees paid or be able to transfer the fees to the re-arranged conference or another Aircraft Commerce Conference.

Travel & Accommodation:

Delegates are responsible for their own travel arrangements. Aircraft Commerce has negotiated a special room rate for delegates staying at each conference venue hotel. Visit the dedicated conference page for details on how to book your accommodation.
